Every year, PTAs go through the same moment: committee members move on, and new volunteers step in to keep events, fundraising and community activities running.

A smooth handover makes all the difference. Done well, it protects everything your committee has built - your data, your relationships with parents, and the momentum behind your fundraising. Done badly, it can mean lost access, missing paperwork and a confusing start for whoever takes over.

Here is a straightforward guide to handing over your PTA responsibilities, covering everything from admin access to paperwork.

1. Website admin rights and roles

Before you step down, make sure your successor has been added as an administrator so nothing falls through the cracks.

Once they are set up, you can remove your own admin rights under Admin > Settings > Roles by simply unchecking the Administrator box against your name.

If you would rather leave the platform entirely, you can request full account erasure via "My Account" - just make sure a successor is assigned first so your PTA does not lose access to its own website.

2. Adding or amending classes

Class lists change every academic year, and it is worth updating them as part of your handover rather than leaving it for the new committee to untangle later.

3. Clearing and managing data

Take a look through your archived events and product groups and set a sensible "Purge Data Date" for each.

If you do not set one manually, the platform will default to purging data 90 days after an event ends - so it is worth reviewing this rather than leaving everything to chance.

A quick tidy-up here means the new committee inherits a clean, well-organised account rather than years of accumulated clutter.

4. Committee members

5. Advising your community

Your parents and community deserve to know when there is a change at the top.

Use the email broadcast feature to let your community know about committee changes, say farewell, and share an update on ongoing fundraising - it is a simple way to keep trust and engagement high through the transition.

6. Website training and support

Spend some time with your successor showing them the basics: creating events, running volunteer reports and uploading documents.
